Dear Department/Institute Directors, and Mentors/Advisers,

We believe that everyone has noticed there is a big difference in our school due to the COVID-19 epidemic. Not only do we have to wear facemasks and implement remote learning, but lots of activities are also either canceled or delayed, affecting our school curriculum. This could make it more challenging for our mentors/advisers when encountering students’ fluctuating emotions. Thank you all for your efforts in counseling and caring for our students during the period of time.

Given the ever-changing society and school environment, mentors’ advice and counseling are not only becoming more essential but also more challenging. In order to support our mentors/advisers, recently we have been granted to raise the honorarium for our mentors/advisers and to provide additional resources to departments/institutes for student activities. This new program will be implemented in this semester (fall 2020). Some information is listed below:

Individual Guidance Fee (Honorarium): Currently honorarium is NT$275 for each student per semester. Starting from fall 2020, it will be adjusted to NT$400 for undergraduate students and NT$275 (without change) for M.S students and the first and the second year Ph.D. students. As for Ph.D. students in the third year or higher, we decided to exclude it from the budget after observing practices from other universities and the actual demand. We hope this adjustment will encourage more direct and personal interactions between the mentors and their students on our campus.

Group Guidance Budget: This new arrangement will allow each department/institute to have more resources to help their students. It is NT$100 per undergraduate and NT$200 for per graduate student (both master and Ph.D. program) for each semester. This budget will be directly allocated for departments and institutes, to encourage them to hold more non-academic activities and enhance the internal cohesion between students and faculty, so that students could get supports more easily from their peers or mentors when they are in need.

Supporting activities for the adjustment: In order to facilitate this new program, every department chair will be required to submit a simple report within 30 days after the end of each semester. The report should include the contents and results of the activities, and will then be collected and uploaded on the website by the Counselling Center at the Office of Student Affairs. This will help departments and institutes to learn more about other’s practices and improve their approaches. The Office of Student Affairs will encourage students to fill in the “Mentor's Survey” on Campus Information System at the end of each semester, helping the department chairs understand more about the effects of student guidance activities.

Apart from the adjustments mentioned above, the Counselling Center has also prepared some suggestions and guidance on how to utilize individual guidance fee and group guidance budget (including the content of the survey), please see the following website (http://counsel.site.nthu.edu.tw/p/406-1250-184195,r728.php). If you have any questions regarding this new adjustment, please contact the Director of Counseling Center, Dr. Daw-Wei Wang (dwwang@phys.nthu.edu.tw) for more information.

This adjustment in the student guidance fee and related supporting measures is an important investment for our school. We hope it could provide more support to the mentors/advisers and each department/institute to develop the diverse counseling for our students. Thank you all again for your efforts in counselling and caring for our students.
